The Problem

A clinic's front desk runs on repetition. Secretaries field the same WhatsApp messages all day — hours, address, directions, rescheduling — while patients who message after closing simply get no answer, and often book with a competitor who replied faster. Manual appointment reminders eat time and still miss people. Report and prescription requests arrive as unstructured messages that someone has to untangle.

The SMB clinic segment has been stuck between two bad options: rigid, expensive scheduling suites tied to one electronic health record, or generic chatbot tools that a small practice has no way to configure safely. Our Approach

ClinicBot puts the clinic in control. A visual, no-code flow builder lets a physician or secretary shape the entire conversation — menus, options, branches, and actions — with a live WhatsApp preview beside them. A Storyboard view lays the real conversation out as cards, and a focused "test" mode drops them into a maximized phone frame to walk every branch before anything goes live. For clinics that would rather not start from a blank canvas, an AI feature turns a photo of a hand-drawn or printed protocol into a draft flow, with a clarify loop to fill the gaps.

Crucially, the patient-facing bot is deterministic by design: the published flow is the behavior. AI is used to help build and draft flows, never to improvise responses to patients. That distinction is the whole point — in healthcare, a clinic needs to know exactly what its assistant will say.

Architecture Highlights

• AI at build time, determinism at run time. Gemini (via Genkit on Vertex AI) generates and drafts flows during authoring; the live bot runs the validated flow with no language model in the patient message path, so behavior is predictable and reviewable.
• Multi-tenant on a single webhook. One engine and one codebase serve every clinic; tenants resolve at runtime by their WhatsApp number, so onboarding clinic #500 costs the same as clinic #2.
• Validated publishing. Every flow passes a shared server-side validator before it can go live, so a clinic can't accidentally ship a broken conversation.
• Real scheduling, not just chat. The slot engine syncs against Google Calendar and writes into the clinic's EHR, revalidating at write time to prevent double-booking.
• Privacy by design (LGPD). The platform transits patient data rather than storing it; the conversation buffer is server-only and auto-deletes on a short TTL, and per-clinic credentials are resolved at runtime from a secrets manager.

Outcomes

ClinicBot takes repetitive front-desk load off clinic staff, stops after-hours bookings from leaking to competitors, and gives small practices an assistant they can trust and control. Version 7 — the Storyboard builder and interactive test mode — shipped to production in July 2026, with a live pilot clinic in Brazil.
