Orbit — AI Project Management Software for Multi-Client Teams

Orbit is AI project management software built by Sagan Labs AI for teams that run many clients at once — agencies, studios, and consultancies. Instead of making you build the workflow before you get any value, Orbit ships a fixed, proven Kanban and puts AI inside the core loop: you type a sentence and it becomes a task, standups write themselves, and the board tells you what is about to slip. It is a product from our own family — the same AI SaaS development discipline we bring to client work, turned on the problem of coordinating work itself.

The Problem

Most project tools hand you a blank system and a bill. You configure statuses, wire automations, and babysit the board before the software does anything for you — and the AI that is supposed to help arrives as a pricey add-on bolted on top. For a team juggling a handful of clients, that setup tax is paid over and over.

There is a data-model problem underneath it too. Popular tools assume one organization, so an agency running ten clients ends up with ten disconnected boards, leaky visibility, and no clean separation between who can see what. The result is time spent operating the tool instead of moving the work.

Our Approach

Orbit is opinionated on purpose. Every project uses the same clear flow — Backlog, To Do, In Progress, Test, Complete — so there is no workflow to design and nothing to maintain. On top of that fixed structure sits a multi-tenant model: a master view across all clients, isolated client workspaces beneath it, and role-based access so the right people see the right board and nothing else.

The AI is assistive and human-approved, not autonomous. It turns natural language into structured tasks, drafts the standup and the weekly digest from real board activity, and flags the work most likely to run late — so the team spends its attention on decisions, not data entry.

Architecture Highlights

• Fixed workflow, zero setup. A single proven Kanban flow replaces per-project configuration, so a new project is productive immediately instead of after an afternoon of admin.
• Multi-tenant by design. A master → client → project → task hierarchy with enforced data isolation at the database layer, so cross-client work never bleeds together.
• AI in the loop, not on the side. Natural-language task creation, generated standups and digests, and delay-risk prioritization run through Vertex AI, included in the product rather than sold as a separate tier.
• Real-time and multilingual. Live collaboration over Firestore, in-app and email notifications, and a responsive PWA in English, Spanish, and Portuguese.
